Not all practice income behaves the same
Core contract income, enhanced services and QOF-related streams have different delivery costs and timing. When they sit in one income line, partners cannot see which work repays nurse and admin time. Practices then continue schemes that feel virtuous but consume capacity that could serve patients in other ways.
Visibility supports better choosing, not endless doing for the sake of activity targets alone.
Tag income and the staff time it needs
Even a simple tagging system in the accounts helps. Pair it with a rough capacity note from the practice manager. Perfect activity costing is unnecessary; directional clarity is enough to stop obvious loss-making overload before winter pressures arrive.
Review quarterly. Annual reviews bury seasonal patterns and staffing spikes that everyone remembers emotionally but nobody quantified.
Use the insight in partner meetings
Replace anecdote-driven debates about too much paperwork with a short contribution view. Partners can drop or renegotiate from facts while protecting patient care priorities they still value.
When enhanced services have grown faster than reporting, the first fix is the pack, not another temporary member of staff hired into an unclear business case.
Making partner finance discussions shorter
Agree a standing agenda item for drawings, tax reserves and certificates in partners' meetings. Circulate the management pack three working days before so partners arrive prepared. Name one partner and the practice manager as finance contacts so the accountant is not answering five versions of the same question. Review the drawings policy whenever a partner joins, leaves or changes sessions. Small governance habits prevent large cash surprises and keep clinical leadership focused on patients rather than chasing paperwork.
A note on timing
Do the unglamorous work in quiet months: tidy records, agree policies, and book the mid-year review before winter pressure or year-end deadlines arrive. Most expensive accountancy problems started as postponed admin. A ninety-minute planning call in summer often prevents a frantic March. Build the habit even when nothing feels urgent, because urgency is usually a sign the calendar was empty of planning.
